It's a judgement
call: If the school isn't too far away, I usually accept. If it's
far away but I know they'll have difficulty getting an OT in for one
reason or another, I sometimes will accept. Either way, I call the
school and let them know approximately when I'll be there. Most schools
are just grateful to have someone coming - late calls are jobs that
often go unfilled. |

SmartFind does
not stop calling until an hour after the start time of the job that
it is trying to fill. Schools sometimes cancel the job if it has not
been filled by the start of classes |

September is
the slowest month for suppy work, as are the days leading up to and
after a holiday. Make sure you have many schools listed in your profile
(e.g. all schools within an hours drive) and are classified to teacher
all grades K-8, including Spec. Ed and French.

did Smart Find drop my call? |
Smartfind has
12 outgoing call lines working at the same time. Jobs can be offered
to multiple OT’s at the same time. Dropped calls have typically
meant the call has been picked up by another OT. |

Smart Find call out alphabetically? |
Call outs are
NOT alphabetical. They are based upon a rotational list of who said
they would go that school and that grade. |
| I
know that the Collective Agreement states that we must not cancel
within 72 hours of the job start, but is there an exception for half
days? |
It would be preferred
if you did not cancel any jobs. However if you have to decline, do
so as quickly as you can to get the job back into the system
The section of the Agreement regarding cancelling a job within 72
hours does go on to state that the cancellationcannot be made to accept
another position. However, if you have job A today, accept job B tonight
and the school with job A has an extended day(s) and for continuity
would like you to return, then reassignment within the board would
allow you to cancel the new job to take over the one requiring continuity.

| I
received a call for a job this morning but it was for the elementary
panel. I am exclusively secondary. |
Please note -
If you are only on one panel (which most of you are), you should NOT
be getting or taking calls for the other panel (this work belongs
to the other union) - if the system is calling you for the other panel
it is because your profile has an incorrect selection on it - you
need to get this fixed ASAP by contacting the SmartFind Operator
- until then you must decline the calls. |
| After
receiving a call from Smartfind, I entered in my access code and pin
three times.Each time I was told that what I entered was invalid.Then
the system hung up on me. |
On a cell phone,
you should enter the digits slowly so the system can recognize your
input.
If you are on a cell phone make sure that the Tone Length is set to
Short or Normal not LONG.
If you are on a cordless phone check the Tone Length as well. If you
have a fax phone or fax on your phone line, disconnect it.
The system is reading the tones that come through the lines and in
each of these situations the tones are not matching what the system
is looking for so it disconnects you. |

| Are
call outs related to seniority? |
There is no OT
seniority as one will discover when they are hired contract and begin
at year 0 regardless of how many OT (and LTO) years worked.
Occasionals do not have seniority.
No ETFO OT Local in Ontario employs a system of seniority. Seniority
has no effect on call-outs or computer postings.
However, experience credit is earned by OTs (see Article 11.02 of
the Collective Agreement) and is applied to salary when an LTO or
a contract position is achieved. It does not equate to seniority in
the Contract Teacher Local. |
| Is
‘experience gained’ the same as seniority? |
The only time
that OT time is used is during a tie breaker when two people were
hired at the same time for a contract. Fear not however, your time
worked is reflected on the pay scale via experience. Experience is
not seniority. |
| What
constitutes an LTO position? |
The position
becomes an LTO on the 10th day (see Article 11.02 part (b) The pay
at grid rate is retroactive to the first day of the day of the assignment. |
| How
do I start getting paid as an LTO? |
The school will
need to complete a 'change of status' form so you will be paid at
your grid rate until the end of the LTO. |
| Can
LTOs in a .5 apply for LTO jobs with more time? |
Unfortunately,
the OT Collective Agreement (Article 8.03) does not allow a person
working in an LTO to leave one LTO to pursue another (Marsha). |
| If
the teacher has left nothing what do I do with my prep period? |
Some ideas:
-prepare for upcoming lessons
-go to the library to see if they need books shelved
¬-organize books on the shelves if they are out of order
-offer to read with primary students
-offer some tutoring in other subjects
-catch up on your First Class e-mail
-read a professional journal or do professional research |
| What are the expectations if there
is a prep period at the end of the day and I have completed all the
required work? |
When a job is
offered through the SmartFind system a beginning and end time is identified.
Occasional Teachers must remain at the school for the duration of
the assignment.
The Education Act, Regulation 298, Section 20 (g)
Duties of Teachers states that a teacher shall "ensure that
all reasonable safety procedures are carried out in courses and
activites for which the teachers are responsible." This includes
the safe dismissal of students at the end of the school day (if
your assignment concludes at the end of the day). All students must
be dismissed prior to the departure of the Occasional Teacher.

| An
OT finds a message on a day plan, indicating that during the regular
teacher’s planning/prep period, the OT should go to the office
and ask the principal what classroom they are assigned to during that
time, presumably to give prep coverage to another teacher. The position
is not listed as a vacancy, but as a full day of coverage for a specific
teacher. |
In the situation
you describe, there is a definite conflict with the Collective Agreement.
The work you do in a prep period is defined by you. Your first obligation
is to prepare for the classroom in which you are working. If assignments
from earlier in the day need to be marked, that is appropriate. If
you need to familiarize your self with material for future class activities,
that is a major part of your responsibility. |
| How
long does Smartfind have to cancel job assignments? |
If a job is cancelled
with less than 2 hours notice, you would be paid for 1/2 day. Please
contact Marsha for assistance with this. |
| Do
you get sick days while on an LTO? |
Yes. The days
are prorated. The number of days will be equal to the length of the
LTO divided by 10. You can check your current allotment by going into
the section of HR where you can view your paystub and click on Absence. |

I take a personal day while on an LTO for a doctor’s appointment
for example? |
Article 16.02
d) in the secondary collective agreement says:
A Long-Term occasional
Teacher may be granted two (2) days leave of absence without pay
during the term of the Occasional Teacher's assignment for the purpose
of attending to personal needs. Arrangements for such leave shall
be made with the principal.

A long term occasional
teacher may be granted two (2) days leave of absence without pay
during the term of the occasional teacher's assignment for the purpose
of attending to personal needs. Arrangements for such leave shall
be made with the Principal.

I have received varying responses from different Service Canada personnel.
The fact that your position may be terminated with 5 day’s notice
would make LTOs casual employment (in my estimation) However, I have
heard that individuals in some areas have been requested to repay
funds received through EI if the LTO continues for the whole year.
This one is a real gamble!! |

to get your ROE. |
I have been
asked to clarify the issuing of records of employment over the Christmas
break.
ROE's are not automatically sent electronically to Service Canada
for Christmas break.
We have verified with Service Canada that no ROE is required if
you intend to re-activate an existing claim you have with them.

| What
is the process used to forward applications for contract jobs to principals? |
Steps followed
for Permanent Elementary Postings
1. Only eligible permanent teachers would be forwarded
for consideration.
2. When the posting states that "occasional
teachers currently on the elementary Occasional Teachers list may
apply for consideration after permanent teachers": If there
are no eligible permanent teachers that have applied, position control
would then forward eligible occasional applications (who have required
qualifications stated on the posting) that comply with Occasional
Elementary Collective Agreement, Article 9.01(2 LTO's-10 month FTE)
3. If
there are no occasional applicants that comply with Article 9.01
then the remaining eligible occasional applicants who have the qualifications
would be forwarded for consideration.

are the 5 declines about? |
It is a decline
ONLY IF: You have entered your code.
You have listened to the job completely.
The job is at one of your "profile schools".
The job is one of the courses/grades you've said you'll teach.
You personally entered the decline code.
For example. You get a call for Tech at Brian Mulrooney Secondary.
The school and the course are NOT on your profile. Your decline does
not count.
You miss the call because you're bathing your toddler and the call
gets picked up by the answering machine. Doesn't count.
The call gets cut off on your cell. Doesn't count.
It's for a school on your profile, but not your "teachable."
Doesn't count.
You get a call for Tech at Brian Mulrooney Secondary and while it's
your teachable, you'd rather crawl over glass than teach those kids
again, so you decline. THAT COUNTS.
Half-day declines CURRENTLY do not count, but that could change if
the board has difficulty filling them. Yes, we all like a full day's
pay, which I'm sure they understand.
As for where you are on the "decline" list, I'd say that's
up to you personally to keep track, but maybe a "courtesy caution"
could be sent out after 4. This won’t happen as records will
be checked ONLY if there is a problem. |
| Does
the school cancelling a job count as one of my declines? |
No |
| Can
you decline a half day without penalty? |
Half day cancellations
would fall into the category of Article 12.07 of the Collective Agreement.
This Article talks about cancelling jobs within 72 hours of the beginning
of the job to accept another assignment. Though there is no negative
response to declining a half day assignment, Article 12.07 would apply
to cancellations |

The 72 hour requirement
is in real hours. |
| I
am not qualified to teach French but can I still take French jobs? |
Each of the students
speaks English and the teachers are so happy to have someone cover
the class that they leave great plans. If you have ANY knowledge of
French, I'd recommend that you give the immersion classes a try.
As Occasional Teachers, requirement of specific qualifications to
cover subject areas do not apply on a day to day basis. If an OT is
called who does not have the specific qualifications preferred, it's
an indication that the teachers who are qualified in that subject
are not available. |
| What
is the protocol if it turns out to be a snow day on the day you are
booked to supply? |
The attached
guidelines apply to OTs on a Long Term Assignment. That is to say,
if you are on a Long Term assignment and cannot get to the school
in which you would normally work, it is appropriate to go to the
nearest school. As the weather clears, it is expected that you would
travel to your regular worksite, as outlined in the guideline. If
you cannot get to your school or an alternate site, you would be
required to complete the form as mentioned in the guideline and
absences would be applied to sick leave credits, where possible.
Daily OTs should
call the school to which they have been assigned and follow the
direction of the administration. If you cannot get to that school,
it is not appropriate to go to an alternate site.
Your safety
is an important consideration. If there is a specific issue about
which you are concerned, please don't hesitate to call me. |
| What
is the protocol around fifth disease in schools? |
School have been
asked to identify the incidence of Fifth’s Disease in their
schools on the special instructions section of SmartFind. Pregnant
teachers are requested to decline these positions. Use "reassigned
within the Board" as your decline reason as it is hoped another
job will be offered to you at a school without Fifths disease. |
| Can
schools have preferred lists? |
EXCEPTION CRITERIA:
Effective September 1, 2009, exceptions will only be allowed in accordance
with the following criteria:
It is the understanding of Human Resources and the union that the
use of preferred lists is for the filling of vacancies where it would
be prudent to predetermine the replacement. Examples include:
• challenging classrooms for which a novice OT would be unprepared
• where safety is an issue, for any reason including equipment,
student behaviour, etc.
• where an unexpected absence becomes prolonged (for classroom
continuity)
• where there is a repeated absence expected (for classroom
continuity where the
teacher being replaced will attend regularly scheduled meetings)
• where availability of specially qualified OTs is limited (French,
Tech, etc.)
Preferred list for classes meeting the criteria above should be set
up in SmartFind.
To set up a preferred list for a classroom, please contact the SmartFind
operator.
The system will be monitored for compliance.
KPR staff is very quick to intervene if they know of a school/teacher
who is pre-arranging positions. SmartFind records do indicate when
a position is arranged beyond the call-out system. |
| When
I use the new online application for LTO's does the board still view
my applytoeducation profile or is there another area that I can show
my resume and reference letters. The application has little room for
additional information and I just wanted to clarify this process. |
Once you are
employed as an Occasional Teacher in KPR, applytoeducation profiles
are not reviewed. Responses to the questions on the application form
are used to determine whether or not you will receive an interview.
When you are interviewed, you will be able to present other information
about yourself. (ETFO has no control over the interview process. We
start to work for you upon your acceptance of a position. The interview
process is considered a ‘management right’.) |
| Who
do we put as our supervisor in the reference section of job applications? |
You would include
the name of a principal with whom you have frequently worked. (You
would, of course, ensure that the principal is aware that you will
be using their name.) |

if I am just on the Secondary OT list, can I apply for LTOs in Elementary
Schools? |
You must be an
employee of the panel for which the job is posted. |

| How
do I calculate how many hours a partial job will be? |
There are 1500
instructional minutes in a week....so if your job is a .33, calculate
0.33 x 1500 = 495 minutes. |
| Who
reads the OT forum? |
Please remember
that your messages posted to this conference are open to view by everyone
in the system. Comments that are unprofessional in nature are read
by anyone who accesses the Conference (including future hiring managers). |
| Do
I have to follow the lesson plan left by the teacher? |
I have been receiving
reports that OTs are not following the lesson plan left by the teacher
but are opting to do other activities - including sports? - I cannot
stress enough that the work of the OT is to follow that plan - in
the past where that has occurred, there has been a disciplinary meeting
that sometimes results in the OT being blocked from that school -
blockages will limit your daily and LTO availability and are a poor
reference for getting full time jobs - so be sure to follow the plan
that has been left - if you are unable to locate the plan, please
contact the school principal or vice-principal. |
| Where
can I access my paystub on-line? |
To access pay
stub on-line you go to STAFF on KPR home page and click on MYKPR on
the drop down menu. You may have to continually remove pop-up blocker
and temporarily allow pop-ups if you find you cannot proceed with
the steps I provide. When MYKPR screen appears you will have to log
on. When you have logged on there will be a menu on left hand side,
you need to click on HR ( Human Resources ). You will ( may ) have
to log on again. On new screen there will be 3 choices in top left
corner, click on Employee. There will be a drop down menu, click on
Personal. Click on Personal and it will drop down another menu with
pay stub. Click on pay stub. Finally, click on the blue arrow beside
the box in upper right area that says "Employee Group".
Click on which employee group you wish ( either Elementary or Secondary
). Whichever group you then click on should provide you with all of
your pay-stub particulars |
| Can
a daily OT or someone in an LTO apply for summer school positions? |
OTs can apply
to summer school postings. They will be competing with Contract teachers
but they are certified and qualified to do those jobs. |
| Can
I send a note home if something important happened during the school
day? |
NO.
Unless there is a specific communication folder that you are instructed
to comment in, do not send notes home. There may be situations
you could not know about due to the nature of daily supply. Leave
the information for the classroom teacher and they will deal with
it appropriately. |
| If
a job I applied for is revised, do I need to apply again? |
As long as the
actual posting number remains the same, you do not need to apply again.
If the revision is caused by a change in the "required qualifications"
and applications have already been forwarded, I would advise the Principal
that some of the applicants previously forwarded may not be qualified
and must be screened at their end.
When a posting is "rescinded" for whatever reason, the posting
number and criteria relating to that position changes and you must
apply again in order to be in the competition. |
| Is
the school # provided when we accept a job? |
The secretary
will usually fill it out, or tell you if you ask. If you log on to
MyKPR, and open the "School directory for internal purposes"
from the left hand drop down list of directories, you will find a
list of schools, including the school number, which is the three digit
number found in the middle of the left hand column for each school. |
| Is
the "percentage of the day worked" provided when we accept
a job? |
For elementary
OTs, you want to put either .5, .667, or 1.0 in this space. .5 is
150 min instructional time, .667 is 200 minutes instructional time
(you don't see 2/3 all that often). You'll get to know which it is
pretty quickly, but you can calculate it out once you know the school's
schedule if you need to. |
| What
goes in the "Authorized Signature" spot? (Our signature?...A
principal's signature?...) |
The head secretary
or principal signs for each day's work. |
| Are
we supposed to do anything with the letter codes provided in the top-right
corner? (S-Short Term, L-Long Term, PD-Professional Development, etc.) |
For regular supply
work, it's S for short-term. |

we get 5 declines EVERY school year or is it cumulative year-to-year? |
Every school
year the total resets. |
| My
Smartfind ID wouldn’t work, does this count as a decline? |
Declines are
very specific. As mentioned in a previous post it only counts as a
decline if you get a call for a full day job at a school that is in
your profile for a grade that is in your profile and you just don’t
want to teach those students so you decline. For all other issues:
dropped cell signal, codes not working, hitting the wrong key etc.
document the date/time and the school and grade (if you caught it)
and keep it somewhere. Do not send it to anyone. Just keep it in case
there is ever a question. |
| Smartfind
lists one start time and the school website lists a different time.
How do I know what the school start time is? |
Use the start
time in Smartfind. |
| How
do I know if I’ve completed this year’s annual criminal
defence declaration? |
If you cannot
remember if you have already completed your declaration, log into
HR Online - the system will not let you do it twice. The board is
unable to check this for you. You must do it yourself. |

I accept a job for tomorrow even though I might be late? (school is

Absolutely not.
It is understandable that things can go wrong but if you know ahead
of time that you may not be able to make it on time (15 minutes before
job starts) to a job that is calling out in the evening, do not take
that job. The school can see what time and what day you accepted a
job. You are only allowed to accept a job where you may be late if
that job is posted on the conference the morning of the job as a last
minute unfilled job (provided you contact the school and advise of
your ETA). |

An OT must request
a Leave of Absence through the Superintendent of Human Resources (Scott
Pollard) if you will be unavailable to teach for a period longer than
two weeks. Leaves can be for periods up to one year. You are required
to include the beginning and end dates of the leave in your request.
Upon the completion of the leave, your name would be returned to the
OT list. Electronic communication is acceptable. |

yet received your evaluation, you will be paid at the lowest category.
The deadline for receipt of the QECO statement is June 30 of the school
year in which you completed your LTO. |

It is advisable
to send the print copy of your time sheet as well. Sometimes the fax
machine does not work properly. Your submission of the hard copy will
protect you in the event of a malfunction of the system. |
